Intelligent document processing (IDP) software, also sold as document AI or AI document processing, reads incoming documents, extracts the fields you need, checks them and sends clean data to your systems, with a person reviewing only what the model is unsure about. The best choice depends on your documents and on who will run it: an IDP platform such as Docsumo, ABBYY Vantage or Hyperscience if an operations team will, or a cloud document processing API or LLM parser if your engineers will build around it.

Every document moves through the same stages: it arrives, gets classified, has its fields extracted and checked, and either flows straight through or waits for a reviewer. Tools differ most on the last two stages. Cloud APIs and LLM parsers stop at extraction; platforms own validation, review and routing too.

Vendors use four labels for overlapping products. IDP software is the buyer's term for tools that classify, extract, validate and route documents; document AI means much the same and is also Google Cloud's product name. AI document understanding can mean extraction or answering questions across many documents, a job closer to search. Agentic document automation goes past extraction to cross-check documents, request what's missing and move the case forward, with a person on the exceptions. What document processing really costs#
A tool's price is only part of what each document costs. The rest is the time people spend reviewing and fixing its output, and that grows with volume. At the calculator's starting values, 5,000 four-page documents a month at $0.01 a page cost $200 in software, while reviewing 10% of them at 4 minutes each, at $35 an hour, costs about $1,170 in staff time.

How it's worked out
- Tool cost = documents × pages × price per page.
- Review time = documents × the share reviewed × minutes per review ÷ 60 × hourly cost.
- Compare tools on the total per document, not the price per page: a cheaper tool that sends more documents to review can cost more.
Cloud APIs and LLM parsers publish the lowest per-page prices, but your engineers build and run the review screens, validation and routing. Platforms, mostly quoted, include those parts. Budget, too, for setup (models for document types that aren't pre-built, validation rules, field mapping), integration and drift: new layouts lower accuracy unless corrections feed back into the model. How to choose intelligent document processing software#
- Start with your document mixList each document type and its monthly volume, including scans, handwriting and multi-page tables. Rule out tools that can't read the ones you get most.
- Decide who builds the workflowAn API or parser returns data and leaves review, validation and routing to your engineers; a platform ships those parts. Integrating an API? Our OCR API guide covers what to test first.
- Check how it handles packetsLoan files, claims and onboarding bundles arrive as sets. A tool that reads each document alone can't spot a missing document or an income figure that disagrees between a pay stub and a bank statement.
- Test on your messiest filesProduction documents, not vendor samples: skewed scans, new layouts, long tables. Measure field-level accuracy and the share of documents no one touched.
- Compare total cost, not pricePer page, per credit and per workflow step scale differently. Put each shortlisted tool's price and review rate into the calculator above.
Before you sign an enterprise contract, also ask:
- What does it take to add a new document type?Labeled samples per type, who labels them, how long training takes and what happens when a format changes.
- How are low-confidence fields handled?Watch a reviewer find a flagged field and fix it, and ask whether corrections improve the model.
- What does the SLA cover?Processing time under peak load, not just uptime, and what happens when it's missed.
- What's the exit path?How you export extracted data and review history, and whether models or configurations move with you.
The bottom line#
Pick by the job, not the feature list. With many document types and a need for on-premise deployment, shortlist ABBYY Vantage, Hyperscience or Tungsten TotalAgility. For mostly invoices, look at Rossum or Nanonets. If your automation runs on UiPath or Automation Anywhere, start with their modules. If you have engineers and want to build, the cloud APIs and LLM parsers have the lowest published per-page prices: Google, Amazon or Microsoft for extraction, and LlamaParse, Reducto or Unstructured to get documents into LLM apps.

What is the best document processing platform?
It depends on the job: Docsumo for validation-heavy document packets in lending, financial services and insurance; ABBYY Vantage, Hyperscience or Tungsten TotalAgility for many document types with on-premise deployment; Rossum or Nanonets for invoice-heavy AP; and the UiPath or Automation Anywhere modules for teams already on those suites. Developers can build on Google Document AI, Amazon Textract or Azure Document Intelligence, and teams feeding LLM apps can use LlamaParse, Reducto or Unstructured.
What is the difference between IDP, document AI and document understanding?
They're mostly marketing names for the same category, software that reads documents and returns structured data, and "Document AI" is also the name of Google Cloud's product. "Document understanding" sometimes means asking questions of documents rather than extracting fields, and "agentic" tools go past extraction to cross-check documents and move the case forward. Established IDP platforms include ABBYY Vantage, Hyperscience, Tungsten Automation (formerly Kofax), Instabase and Docsumo. Rossum and Nanonets focus on finance and AP, UiPath and Automation Anywhere offer IDP inside their RPA suites, and Google, Amazon and Microsoft sell cloud extraction APIs.
How much does document processing software cost?

Can general-purpose LLMs replace document processing software?
An LLM can read a clean document and return fields, but on its own it doesn't give you confidence scores per field, a review queue, validation rules, an audit history or a way to split and check long scanned packets. Platforms such as Docsumo use LLMs to structure what OCR reads, inside a workflow that supplies those parts.
Do we need IDP if we already use RPA?
RPA moves data between systems but can't read a document on its own. UiPath and Automation Anywhere add IDP modules to their suites; a standalone IDP platform can also feed any RPA tool through its API.
